Payment reminders
Write reminder rules for overdue invoices. The helper lists who is due and prepares an email file you send yourself.
Updated Nov 2, 2026
Reminders help you chase invoices that are due or late. Pop Books does not send email for you. It prepares the message and you send it.
Not available on screen yet
There is no reminders screen in the app today. The engine part is built and tested, but there is no button for it yet.
How it works
- You write rules. Each rule is set before, on or after the due date, for example 7 days after.
- Each rule has your own subject and message. You can use these placeholders: customer, number, amount, due, days and company, each in curly braces.
- The engine lists what is due on a day you choose.
- An invoice with nothing owing, or a void one, is never listed. Reminders stop on their own once the invoice is paid.
- A rule is offered once per invoice, after you mark it as made.
- An old invoice is offered only the latest "before" rule and the latest "after" rule, so you do not get a pile of old reminders.
- After a part payment the message shows what is still owed.
Sending the reminder
Two forms are made for you:
- An email file (.eml). It opens in your mail program as an unsent draft with the invoice PDF attached. This is the one to use if you want the attachment.
- A mailto link. It opens a new message with the words filled in. A link cannot carry an attachment, so save the PDF beside it and attach it yourself.
Good to know
- You must press send yourself. Nothing is emailed from the app.
- Rules and the template (colour, footer, terms) need the right to set up the books.
Not checked yet
- The email file and PDF were checked as text and structure. They were not opened in Mail, Outlook or Thunderbird.
- There are no screens. The wording and rules are only used through the engine.
