Working with several clients

How a preparer works with several client companies, switches between them, and what the owner, accountant and viewer roles allow.

Updated Nov 2, 2026

A preparer can keep several client companies in one account. Each company has its own books, its own history and its own people. Nothing from one client shows in another.

Switching companies

Choose the company you need from your list of companies. The name of the company appears at the top of each screen, so check it before you post or export anything.

Roles

Each person who can open a company has one role for it.

| Role | Can see the books | Can add and change entries | Can manage people | | --- | --- | --- | --- | | Owner | Yes | Yes | Yes | | Accountant | Yes | Yes | No | | Viewer | Yes | No | No |

The company's owner adds people. Only the owner can erase the company or take a full export.

Adding a client's accountant or viewer

  1. Ask the person to create an account first. You cannot add an email that has no account.
  2. Open the company, then People.
  3. Enter the person's email and choose Accountant or Viewer.
  4. The change is recorded in the edit history.

Use a viewer for a reviewer or a client who only needs to see the reports. Use an accountant for someone who posts entries.

Read-only access

A viewer can open and read the books and reports, but cannot post, change or void anything. A closed period stays closed for everyone.

Licence

Working with several clients needs the Pro Preparer edition. See licence-editions.
