Exporting a report to PDF, Excel or CSV

Save any main report as a PDF or an Excel file, and some as CSV, with the same figures you see on screen.

Updated Nov 2, 2026

You can save a report as a file to print, email or hand to your accountant. The PDF and the Excel file are made from the same numbers as the screen, row by row.

What to do

  1. Open Reports and choose the report tab, such as Profit and loss or Balance sheet.
  2. Set the dates and press Show. For reports "as at" a day, set the As at date.
  3. Press PDF or Excel next to the dates. The file downloads.
  4. On Profit and loss and Every account (trial balance) there is also a Download CSV button under the table.

Which reports have the buttons

PDF and Excel buttons are on:

  • Profit and loss
  • Balance sheet
  • Every account (trial balance)
  • What you are owed and What you owe (the aging reports)
  • Account detail
  • Sales tax

A report you built yourself can also be saved as PDF or Excel. See report-builder.

What is in the file

  • Every PDF has a footer with the company name, the date printed and "Page x of y".
  • Long tables break across pages and repeat their header row on each page.
  • Paper is Letter for the US, Canada, Mexico and the Philippines, and A4 elsewhere. There is no per-person choice yet.
  • Wide reports, up to 13 columns, print on landscape pages in a smaller font.
  • Notes you add to a built report print under it.
  • Text uses a standard font. The rupee sign prints as "Rs". A character the font cannot show prints as a question mark.
  • A trial licence adds a trial note to the printout.

Good to know

  • Exporting is written to the audit trail as report.export. If the file is read-only, nothing is written and the export still works.
  • Anyone who can read reports can export them, including View-only users.
  • Saving a company logo is built in the engine, and reports use it when one is saved. There is no screen to choose a logo yet.

Not checked yet

  • The PDFs were checked by structure and by reading back their text. They were not opened in Adobe Reader, Preview or Edge, and not printed. Open one in your own viewer before you rely on the layout.
  • The look of wide tables on paper has not been checked.
  • The Export buttons were tested through the engine. They were not clicked through in the finished app.
