Some riders do not pay at the door: a company, a clinic or a school pays for them. A billing account collects those trips, and a statement lists a period's trips with one total, as a PDF in your branding or as a CSV file for your own spreadsheet.

Before you start #

  • The owner, manager or advisor adds accounts and issues statements. Dispatchers charge trips.
  • Taxi is part of the Pro and Business editions.

Steps #

  1. Add the account: name, type (corporate, medical or school), contact, billing email, address, payment terms in days, and whether every trip needs a reference such as a PO, member or student number.
  2. Charge each trip to the account: date, reference, passenger, from, to and fare. The date defaults to today in your time zone.
  3. Check the account's open trips and open amount at any time.
  4. At month end, issue a statement for the period: first and last date. The statement takes every open trip in that period, marks them billed, works out the due date from the terms and gets the next number, such as S-0001.
  5. Print the statement as a PDF, or download the same trips as CSV.
  6. Void a wrong charge before it is billed, with a reason. A billed charge stays on its statement.
Technical details
  • Routes: /taxi/accounts (list, add), /taxi/accounts/:id (change), /taxi/accounts/:id/trips (list, charge), /taxi/accounts/:id/trips/:trip/void, /taxi/accounts/:id/trips.csv, /taxi/accounts/:id/statements (list, issue), and /taxi/accounts/:id/statements/:sid/pdf and /csv.
  • Money is kept as whole cents. A statement covers at most a year. A period with no open trips makes no statement, and a trip is billed once.
  • CSV files open in spreadsheets with the byte order mark, and text that a spreadsheet could run as a formula is neutralised.
  • Every add, charge, void, statement and export adds an audit log entry.

If something goes wrong #

  • "This account needs a reference on every trip": enter the reference.
  • "There are no open trips in that period": every trip in the period is already billed or voided.
  • "Only a charge that is still open can be voided": the trip is on a statement. Correct it on the next statement.
