The Invoices screen lists invoices with their customer, total, balance and due date. You will be able to record a payment you took at the counter or by transfer.
Before you start #
You need the advisor, manager or owner role. Dispatch records card payments that you took with your own terminal. It does not charge cards.
Steps #
- Choose Invoices in the sidebar.
- Select an invoice. The panel on the right shows the total and the balance.
- Under Record a payment, choose the method (Card, Cash, Cheque, Bank transfer or Other), type the amount and choose Record payment.
- An amount above the balance is refused with a message.
Make an invoice #
- Choose New invoice (Command-N on this screen).
- Choose the customer.
- Add one line for each charge: choose its kind (Labour, Part, Tow, Storage, Fee, Sublet or Other), type the description, the quantity and the unit price. Untick Tax on a line that carries no tax. Choose Add line for more.
- Optionally set a due date and add notes. The sheet shows the subtotal before tax.
- Choose Create invoice. The server numbers it, adds tax from your tax rates and issues it in one step. A customer and one described line are required.
Saved offline, the invoice waits in the queue and gets its number when it is sent.
Offline #
When the server cannot be reached, a banner on the screen shows when this Mac saved the copy you are looking at. Changes you make wait in the queue and go to the server when the connection returns. See "Working offline on the Mac". A payment recorded offline is sent with its own key, so it posts once even if the connection drops during the send.
