# Credit limits and credit days

A credit limit is the most a customer may owe you at one time. Open Credit control under Sales, choose Set a limit, pick the customer and type the amount. Leave the amount empty for no limit.

Credit days are how long you let the customer take to pay. Leave them empty and the days in the customer's payment terms count. You can also open Credit beside any customer in the Customers list.

What gets checked

When someone issues an invoice or confirms a sales order, Pop Books adds up what the customer still owes on issued invoices and adds the new total. When that sum is above the limit, the role of the person at the keyboard decides what happens:

  • Stop it. The document stays a draft and a message says how far over the limit it is. This is the starting choice for every role.
  • Let it through with a warning. The document goes ahead, the screen tells the person, and the history records a credit warning.

Choose a mode for each role with Who can go over on the Credit control screen. Roles without their own choice follow the "any other role" setting.

Going past a limit

  • Owner, Admin and Approver hold the credit override permission. They can issue or confirm directly, and the history records a credit override.
  • Anyone else can press Ask for approval when a document is stopped. An approver sees the request under approvals and says yes or no. After a yes, issue or confirm the document again. The approval covers that document, up to the amount that was asked for.

Who is over

The Credit control screen lists customers over their limit or past their credit days, with the amount over, the oldest overdue invoice and the invoices behind it. The All limits view lists every customer who has a limit or credit days set. A customer counts as past their credit days when the oldest unpaid invoice is older than their credit days.

Who can do what

  • Setting a limit needs the permission to change contacts.
  • Choosing what each role does needs the permission to change setup.
  • Anyone who may see the books can read the lists.
  • Asking for approval needs the permission to request approvals.

What has not been tried

Limits count invoices in your own currency. Foreign currency invoices count at their stored amount.
