# Custom fields
A custom field is a piece of information you want to keep that Pop Books has no box for, such as a customer PO number, a region, a shelf or a renewal date. Open Custom fields under Settings and choose New field.
Setting one up
- For says where the field appears: contacts, items, invoices, quotes, sales orders or bills.
- Kind is text, number, date or a list. A number field takes only numbers. A date field takes a date written as YYYY-MM-DD. A list field takes one of the choices you type, one on each line.
- Print on invoice and quote PDFs shows the field in a small line above the terms, for records that have a value.
- Order puts fields in sequence; lower numbers come first.
The kind and the place a field belongs to cannot change later. The name, the choices, the order and the print setting can.
Filling them in
The fields appear in a section named Extra fields in the contact, item and quote windows and in the invoice and bill windows. Invoices and bills also show them after issue, with their own save button. Clearing a box removes the value.
Switching a field off
Switch off hides a field and stops new values going in. The values already entered stay on file and in exports. Switch it on again whenever you like.
Finding records
Pick a field and use Find records by value. Text fields match any part of the value. Number, date and list fields match exactly. The same lookup is available to other tools as customfields.find.
In your exports
The contacts, items, invoices and bills files in the full export carry one extra column for each field, headed "Custom:" and the field name. The contacts and items exports from the Import and export screen carry the columns too. The privacy export in JSON holds every field and value, including fields that are switched off.
Who can do what
Setting up fields needs the permission to change setup. Filling them in needs the permission to change the record: contacts, sales or bills. Anyone who may see lists can read them.
