The Payments screen, titled "Money in", lists the invoices that still have a balance. You will be able to see what each one owes and note a payment you received without leaving the list.
Before you start #
You need the owner, manager or advisor role. Open it from the Invoices screen with the Payments link.
Steps #
- Open Payments. Each open invoice shows its number (a link to the invoice) and a line such as "Owed balance of total. Due date."
- Choose "Record a payment" under the invoice to open the form.
- Choose the Method: Card, Cash, Cheque, Bank transfer or Other.
- Enter the Amount. The field shows the balance as a hint.
- Add a Reference if you have one (up to 80 characters).
- Choose "Record a payment". The invoice shows its new balance. An invoice paid in full leaves the list.
- Choose "Show more" to load further invoices. The Invoices link in the header returns to the full list.
Good to know #
- The form notes money you already received. No card is charged.
- An amount above the balance shows "That is more than the balance." An amount of zero shows "Enter an amount above zero."
- When no invoice has a balance, the screen says "No invoice has a balance."
Technical details
- The list loads open invoices from
/invoiceswith the status filter open, 25 at a time. A payment posts to/invoices/{id}/payments.
If something goes wrong #
- A message appears in the form after you choose "Record a payment": read it, correct the field and try again. No payment posts until the message clears.
- An invoice you expect is missing: it is paid, void or has no balance. Find it on the Invoices screen.
