Each quarter a carrier reports the miles driven and the fuel bought in each state or province. Pop Dispatch builds the figures from your GPS positions and your fuel purchases. You supply the boundary files and the quarter's tax rates, because the report is only as sound as those inputs.
The report gives, for each jurisdiction, the miles, the fuel the miles used, the fuel you bought there with tax paid, and the tax due or the credit. Check the filing rules of your base jurisdiction before you file; Pop Dispatch does not file for you and does not work out interest or penalties.
Before you start #
- Trucks report GPS positions (Fleet live map).
- Each fuel purchase is entered in Fleet fuel.
- You have each jurisdiction's boundary as a public boundary file, and its published rate for the quarter.
Steps #
- Open Fuel tax. Under Boundaries, load each state and province you drive through. Each has a code such as TX or ON and its rings of longitude and latitude.
- Under Rates, choose the quarter and type each jurisdiction's rate in dollars per US gallon.
- Choose Work out miles from GPS for the quarter. Pop Dispatch adds up the distance between positions in each jurisdiction, by truck and day. A gap of more than three hours between positions is left out.
- Under Miles, add miles by hand for a truck with no GPS or for a gap. Hand-entered miles for a truck and day replace its GPS miles for that day.
- Under Fuel, give each purchase its jurisdiction and say whether tax was paid at the pump. A purchase with no jurisdiction is left out and the report says how many.
- Open Report for the quarter. Read the warnings first: miles outside every boundary, missing rates, fuel without a jurisdiction. Download the CSV for your filing.
