The Expenses screen shows costs that belong to an asset or a trip, newest first. You can record an expense, charge it to a person's advance and void one entered by mistake. Fuel is recorded on the Fuel screen and appears here by itself.
Before you start #
- Open Fleet, then Expenses. The screen opens for the owner, manager, dispatcher and advisor roles.
- The Record an expense form appears when your licence includes the Fleet module and allows changes.
- Amounts use your business currency from the
localesetting. Type amounts such as 12.50, with no more decimals than the currency has.
Steps #
- Read the table. Its columns are Date, Kind, Asset, Amount, Paid by, Vendor and Actions. An expense paid by the driver shows "to be repaid".
- To look at one asset, pick it in Show one asset.
- To record an expense, fill in Record an expense: choose the Kind (Toll, Fine, Parking, Repair, Tyre, Permit, Insurance, Allowance or Other), type the Amount and, from the receipt, Tax included. Choose the Asset, add a Person number, set Paid by (Company, Driver or Account) and the Date.
- Tick Charge this to the person's advance when the driver paid from an advance. Select Record an expense. The row appears in the table.
- To fix a mistake, select Void on its row. The row then shows Void.
Technical details
- The list reads
GET /fleet/expenseswith a limit of 100. Recording posts to/fleet/expensesand voiding posts to/fleet/expenses/:id/void. - The tax figure is the one you type. An empty tax is sent as zero.
- A fuel expense mirrors a fuel fill and has no Void button. Correct the fill on the Fuel screen.
If something goes wrong #
- "Enter an amount such as 12.50, using no more decimals than the currency has." Correct the field marked with the message.
- "Fuel is recorded on the Fuel screen." Use that screen for fuel.
- A driver expense needs a Person number, and a charge to an advance needs the driver as payer. The server refuses the entry otherwise and shows its message.
- "This licence has no Fleet module, so changes are turned off." See fleet-without-the-licence.
