The reports answer the questions you ask every month. You will be able to pick a report and a range of days, read the figures, download the same figures as a spreadsheet file, and print them as a PDF.
Before you start #
- The dispatch desk (dispatcher, advisor, manager, owner) runs the calls, response time and impound reports. Money columns show blank for a dispatcher.
- The advisor, manager and owner also run revenue, shop hours, receivables and sales tax.
- The web screen is Reports in the console menu. The Mac screen shows the same tables. The technical details name the requests the server answers.
The reports #
| Name | What it shows |
|---|---|
calls-by-day, calls-by-driver, calls-by-truck, calls-by-account | Calls taken, completed and cancelled, loaded miles and the amount invoiced for each day, driver, truck or account |
response-times | Minutes from taking a call to dispatch, to arrival and on scene, for each driver: average, median, 90th percentile and longest |
impounds | Vehicles taken in, released, disposed of and in the yard at the end, storage and fees invoiced, sale proceeds, surplus and shortfall |
revenue-by-service | Invoice lines by business (towing, repair shop, impound yard, manual) and service, before tax, tax and total |
shop-productivity | For each technician, repair orders, hours billed, hours clocked and billed hours as a percent of clocked |
ar-summary | What is owed on the last day of the range, by invoice age, and how much is past due |
sales-tax | Tax charged by tax rate, the taxable sales behind it and the number of invoices |
Steps #
- Open Reports. The Report list holds the reports you can run. The first one runs by itself for the last 30 days.
- Choose another report under Report, or change First day and Last day. Both days count.
- To read in another time zone, type a name such as America/Chicago in Time zone. The default is your business time zone.
- Select Run report. The table shows one row for each day, driver, truck, account, service or rate, with a Total row at the foot. "Nothing to report for these dates." means the range has no activity.
- Select Download CSV to save the same table as a file. The last line is the totals.
- Select Print / PDF to open a printable page in your business's branding in a new tab. The header shows the report name, the first and last day, the time zone and the day you ran it. A table with more than six columns prints on landscape paper. When the browser keeps the new tab closed, the page saves the PDF as a file.
- Check the money figures against your invoices: the totals of Revenue by service equal the invoices issued in the range, and the total of Calls by day equals the invoices of the calls taken in it.
If First day comes after Last day, the page says "The first day comes after the last day." Swap them.
Technical details
- Requests:
GET /reportslists the reports,GET /reports/calls-by-day?from=2026-10-01&to=2026-10-31runs one,tz=sets the zone, andformat=csvorformat=pdfreturns a file. - A range is whole local days in the chosen zone, and covers up to three years. A call counts on the local day it was taken, so a call at 11 pm Eastern on the 26th shows on the 26th, and on the 27th when you read the figures in UTC.
- Money figures leave out void invoices and count an invoice on the day it was issued.
- Shop hours billed are the labour lines on repair orders invoiced in the range, leaving out declined lines and shared equally among the technicians on the order. Hours clocked are the time punched in the range, with a punch that began earlier counted from the start of the range.
- Response time runs from the time the call was taken to the time the driver arrived, to the nearest minute. Cancelled calls are left out.
- Receivables age by days from the invoice date; see "See who owes you and for how long".
- Each PDF print is written to the audit log as "printed a report" with the report and its dates. The PDF holds the same rows as the data form, with amounts shown in dollars.
- CSV files open in a spreadsheet with the column names in the first row. Text that a spreadsheet would run as a formula carries a leading apostrophe.
More reports #
- "Sales tax, cash basis" counts tax on money collected, less refunds. See "Sales tax on a cash basis".
- "Refunds and credit notes" lists each note for the dates.
- To email a report every week or month, see "Email a report on a schedule". For charts, see "The Money dashboard".
If something goes wrong #
- "This report is for owners, managers and advisors": ask one of them to run it, or to give you that role.
- "from must not be after to": swap the dates.
- "A report covers up to three years": shorten the range.
- "format must be json, csv or pdf": use one of those three.
- "Unknown time zone": use a zone name such as America/New_York.
