A vehicle in your yard builds up storage and fees. You will be able to put the fees on its record, raise one invoice for everything owed, release the vehicle once that is paid, or end its stay by sale, scrap or title.

Before you start #

  • You need the advisor, manager or owner role to raise the invoice. Dispatchers can add fees. Owners and managers void fees and dispose of vehicles.
  • Your business remains responsible for the rules on selling or scrapping a vehicle in your area. Pop Dispatch records the figures and leaves the decision about any surplus to you.
  • This guide names the requests the server answers. The Mac and web screens follow the same fields.

Add fees and raise the invoice #

  1. Add a fee to the record: send POST /tow/yard/:id/fees with a kind (notice, lien_search, auction_fee, admin or other), an amount_cents and an optional description.
  2. A fee added by mistake can be voided by an owner or manager with POST /tow/yard/:id/fees/:fee/void and a reason, until it is on an invoice.
  3. Send POST /tow/yard/:id/invoice. One invoice holds the storage days not yet billed (after the free days, at the record's daily rate) and every fee not yet billed. The answer gives the invoice id, number and total.
  4. Send it again later and only the days and fees added since go on the new invoice. A request with nothing new is refused.

The release check counts what is owing across those invoices and any fees not yet invoiced. A vehicle leaves the yard once the balance is paid, or an owner or manager releases it with the balance on account.

End the stay #

  1. Send POST /tow/yard/:id/disposal with a kind:
    • sale: needs proceeds_cents above zero and a buyer_name (the buyer or the auction house).
    • scrap: proceeds_cents may be zero or more, with an optional buyer.
    • title: the business keeps the title and takes no proceeds.
  2. The vehicle's lien schedule must be finished first (see "Run the lien clock and list a vehicle for auction"). When the owner surrendered the vehicle instead, send owner_surrendered as true and a reference, such as the signed release or the title number.
  3. The answer shows what was owed, what the proceeds covered, any surplus and any shortfall, and the invoices involved. A sale also makes one invoice to the buyer for the sale price.
Technical details
  • Proceeds go against the invoices for the vehicle, oldest first, as payments with the source yard_proceeds. What is left over is recorded as a surplus on the disposal. What proceeds did not cover stays on the invoice as a balance and is recorded as a shortfall.
  • For a title kept by the business, the amount owed is recorded as written off and no invoice is raised for storage and fees not yet billed. Invoices raised earlier stay as they were.
  • A disposal happens once for a vehicle. After it the vehicle's status is disposed, its space is free and its lien stage is closed. Fees can no longer be added.
  • A disposal needs no hold on the vehicle. A listed auction lot closes as sold on a sale and as withdrawn otherwise.
  • The disposal and every invoice and payment it makes are saved together, so a failure leaves nothing half done.
  • Reports under Impounds show vehicles taken in, released, disposed of, storage invoiced, fees invoiced, proceeds, surplus and shortfall.

If something goes wrong #

  • "... is still owing on this vehicle": raise the invoice and take payment, or ask an owner or manager to release it with the balance on account.
  • "Nothing is waiting to be billed on this vehicle": every day and fee is already on an invoice.
  • "Enter who bought it, or the auction house": a sale needs a buyer.
  • "... Or record that the owner surrendered the vehicle": finish the lien schedule, or send owner_surrendered with a reference.
  • "This fee is on an invoice and cannot be voided": the invoice carries it.
