Short answers about your records and the personal data in them.

Who owns my data? #

You do. A licence controls whether you can add or change records. Reading, exporting and backing up your records always work. See "What happens when your licence ends or the check fails".

How do I get a copy of everything? #

Open Settings, then Backup, and make a backup now. On the hosted plan you can also ask Pop Street for a complete copy that includes stored photos and signatures. See "Backups and restore" and "The hosted plan".

How often does a backup happen? #

Each night. The server checks that every backup restores before it lists the backup, and it runs a monthly test restore. See "Backup files, schedule and the monthly test".

What is the recovery key? #

A key shown once when the business account is created. It opens a backup on a replacement computer. Keep it away from the server computer. See "The vault and your recovery key" and "Lost recovery key".

Where is my data kept? #

On the hosted plan, at your own address on Pop Street's server, apart from every other account. On an office server, on your own computer. See "The hosted plan" and "Setting up the office server".

Can I move from the hosted plan to my own server, or the other way? #

Yes. Ask Pop Street for a copy of your account's data and restore it on your server. See "The hosted plan".

Can I answer a customer who asks for their data or to be forgotten? #

Yes. The Privacy screen exports every record that names one person as a JSON file and a readable PDF, and erases or anonymises personal fields while it keeps the records the business must retain. See "Privacy tools: requests about a person's data" and "A customer asks for their data or to be forgotten".

Can I control how long data is kept? #

Yes. Retention settings set how long GPS trails, photos, messages, closed jobs and enquiries stay, with a scheduled clean-up you can turn on. See "Retention settings and the daily clean-up".

Does Pop Dispatch send marketing messages? #

Only to contacts with a current opt-in. The record shows when and where each person agreed. See "Marketing consent: opt-ins and opt-outs".

The call number, the status, your business name, the vehicle, the pickup and drop-off, the estimated arrival and the driver's first name. The page leaves out phone numbers, money and notes. See "The customer tracking link".
